The Administrative Assistant / Receptionist is responsible for providing professional front office support while assisting with a variety of administrative and clerical duties. This position serves as the first point of contact for visitors, employees, applicants, and truck drivers, ensuring excellent customer service and supporting daily office operations.
Essential Duties and Responsibilities
Greet visitors, employees, applicants, and truck drivers in a friendly and professional manner.
Manage the front reception window and provide assistance to employees as needed.
Answer and direct incoming telephone calls, take accurate messages, and provide information when appropriate.
Perform data entry for the company's traceability program with a high level of accuracy.
Schedule outgoing shipments through FedEx and UPS.
Assist management with preparing expense reports and other administrative tasks.
Manage the office copier, including coordinating maintenance and ensuring it remains operational.
Order and maintain office supplies, including copier paper and other office essentials.
Distribute employment applications to job applicants and provide basic hiring information.
Assist truck drivers by verifying their orders and directing them to the appropriate loading dock.
Keep the reception and office areas organized and professional.
Perform other administrative and clerical duties as assigned.
Qualifications
Bilingual in English and Spanish (required)
Strong customer service and communication skills.
Excellent organizational skills and attention to detail.
Ability to multitask and prioritize work in a fast-paced environment.
Basic computer and data entry skills.
